Drafts, types and edits a variety of correspondence, documentation, reports, schedules and statistical forms for Human Resources (HR), Occupational Health and Safety (OH&S) and other sections as required.
Organizes various meetings and assists in presentations including orientation and benefits sign-on.
Takes, prepares and distributes minutes of meetings.
Assists with the recruiting function of the Transit Division by preparing hiring requisitions, booking interviews, conducting background checks, preparing staffing actions and preparing any relevant correspondence.
Prepares, reviews and maintains Transit Division HR and OH&S files.
Receives Workers’ Compensation Board (WCB) reports from employees, ensures reports are complete and forwards them to Corporate Human Resources for processing.
Enters report information into a database, including OH&S, WCB, Return to Work, Sick Bank, grievance, and recruitment information.
Compiles Sick Bank documentation and forwards to Corporate HR for processing.
Receives and answers telephone enquiries, directs calls to appropriate staff, provides front counter coverage and answering the main line as required.
Provides Clerk-Steno coverage as required.
Performs other related duties as assigned.
Grade 12 education.
Graduation from a recognized business college.
Typing speed of 55 w.p.m.
Three years’ related secretarial and/or general office experience.
Ability to maintain confidentiality while handling sensitive information.
Ability to deal courteously and tactfully with the public and other civic employees.
Ability to communicate effectively, orally and in writing.
Ability to work with minimal supervision.
Skill in the operation of office equipment, including a computer with word-processing, spreadsheet and database software.
